In short

We're Assetspire Limited, a company in Norwich, England. We make software that helps organisations keep track of what's physically in their data centres.

This notice covers our website, our Companion App, our events, and our marketing. It applies to you wherever you are in the world — we're one company, and we answer for your data everywhere.

If you're here because we contacted you and you want to know how we got your details: some of the people we contact gave us their details themselves. Others we found through business contact data providers, or from public sources. Section 3 explains which, and section 5 explains how to make us stop — permanently, no reason needed, no questions asked.

The rest of this notice is the detail. Everything in it is free to act on, and we won't treat you differently for asking.

1. Who we are

Assetspire Limited ("Assetspire", "we", "us", "our") is a company registered in England and Wales, company number 07617965, with its registered office at Bankside 300, Peachman Way, Broadland Business Park, Norwich, Norfolk, NR7 0LB, United Kingdom. We provide the Spire™ platform and related data centre asset intelligence services.

Assetspire Limited is the controller of the personal data described in this notice, wherever in the world you are. We are a single company. There is no local entity, no regional affiliate and no other organisation answering for how we handle your data. We decide why and how it is used, and we are accountable for it — to you, and to the regulator in your country.

2. What this notice covers — and what it doesn't

This notice explains how we handle personal data in connection with:

  • our website at assetspire.co.uk
  • the Assetspire Companion App
  • events we host or attend
  • our marketing and business development activity, including where we contact people whose details we obtained from somewhere other than themselves

It does not cover personal data inside the Spire platform. When we run Spire for a customer, we act as a processor on that customer's instructions, and the terms are set by our agreement with them, not by this notice. If you are an employee, contractor or tenant of an Assetspire customer and your details appear in their Spire environment — including through the Companion App, where your employer administers your account — please contact that organisation. They decide what is held about you there; we do not. We will help them help you.

It also doesn't cover job applicants, or the practices of third-party websites we link to.

Where the law where you live requires your consent before we collect, use or share your personal data, we will ask for it first.

3. What we hold, and where we got it

Information you give us. When you request a demonstration, complete a form, subscribe to updates, contact us, or register for an event, we collect what you provide — typically your name, business email address, telephone number, employer and job title, plus whatever you send us.

Information we collect automatically. When you visit our website we collect your IP address, device and browser information, approximate location derived from your IP address, and the pages you view. Some of this uses cookies — see section 9.

Information we obtain from other sources. Where we think an organisation may have a use for what we build, we contact a small number of named people in relevant roles there. We did not get their details from them, so we say plainly where they came from:

  • Third-party business information providers — commercial services that compile business contact data and license it to organisations like us. The providers we currently use are named at assetspire.co.uk/privacy/sources, along with a direct link for removing yourself from their databases entirely.
  • Publicly available sources — company websites, published conference and speaker listings, public registers, and public profiles on professional networking services such as LinkedIn.
  • Our business partners, event co-hosts and sponsors, where you registered for or attended a joint event, or asked to hear from us.

What we obtain this way is limited to your name, job title, employer, business email address, business telephone number and professional profile information. We obtain it about you in your professional capacity only. We do not obtain special category data, and we do not obtain personal contact details for this purpose.

We may combine it with information you have given us, or with how you have interacted with our website or our emails, so that what we send is relevant rather than generic.

If we contact you and your details came from a provider rather than a public source, we will tell you which provider in that first message. You can also ask us at any time and we will tell you.

4. Why we use it, and our lawful basis

Where we rely on legitimate interests, we have carried out an assessment weighing our interest in reaching relevant professional audiences against your interests, rights and freedoms. You can ask us for a summary of that assessment using the contact details in section 14.

5. Marketing, and your right to say no

You have an absolute right to object to us using your data for direct marketing. It is not a balancing exercise. If you object, we stop, permanently, and you do not have to give a reason.

You can tell us to stop in any of these ways:

  • reply to any message from us and say so
  • use the unsubscribe link at the bottom of our marketing emails — it opens a pre-addressed email to us, so one click and send is enough
  • write to info@assetspire.co.uk

We will act on it without undue delay and within one month at the latest.

When you ask us to stop, we keep your name and email address on a suppression list. We do this for exactly one reason: so we do not contact you again by mistake. It is not used for anything else and it is not marketing.

One thing worth knowing

Stopping us does not remove you from the databases your details came from, so other organisations using the same providers may still contact you. If you want that to stop too, the links at assetspire.co.uk/privacy/sources let you remove yourself at the source. We would rather tell you that than have you spend a year wondering why the emails keep coming.

6. Who we share it with

We do not "sell" or "share" your personal information, as those terms are defined under the California Consumer Privacy Act, and we have not done so.

We disclose personal data to:

  • Service providers acting on our instructions — cloud hosting, customer relationship management and marketing platforms, email delivery, business contact data providers, website analytics, and professional advisers. They are bound by written contracts requiring them to process data only on our instructions and to keep it secure.
  • Business partners, event co-hosts and sponsors, where you registered for a joint event or asked to hear from them. At that point their own privacy notice applies too.
  • A prospective buyer and its advisers, in connection with any proposed merger, acquisition or transfer of our business or assets.
  • Law enforcement, regulators, courts and government agencies, where the law requires it or where we need to establish or defend legal claims.
7. Where your data goes

We are based in the United Kingdom, and that is where your data is primarily held. Our primary hosting provider is Amazon Web Services (AWS) in the EU (London) region.

Some of our service providers are elsewhere. Personal data covered by this notice may be transferred to, stored in and processed in other countries, including the United States.

Where we transfer personal data out of the UK, the EEA or Switzerland to a country without an adequacy decision, we put appropriate safeguards in place — the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or another lawful mechanism. Some of our providers are also certified under the EU–US and UK–US Data Privacy Frameworks. You can ask us for a copy of the safeguards that apply to you.

Where the law requires us to keep something longer — tax, accounting, or a legal claim — we will, and only for as long as that requires.

9. Cookies

Our website uses essential cookies, which it needs in order to work, and non-essential analytics cookies provided by Google Analytics, which help us understand how the site is used. Non-essential cookies are only set if you accept them, and you can change your mind at any time using the cookie banner.

10. Keeping it safe

We use appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. No method of transmission over the internet is completely secure, so we cannot promise absolute security — and we would rather say that plainly than promise something nobody can deliver.

11. Your rights

Depending on where you are and why we hold your data, you have the right:

  • to be told what we hold about you and to get a copy of it
  • to have inaccurate data corrected and incomplete data completed
  • to have your data deleted, where we no longer have grounds to hold it
  • to object to processing based on our legitimate interests — and, for direct marketing, to object absolutely (see section 5)
  • to ask us to restrict processing while a question about it is resolved
  • to receive data you gave us in a portable format, or have it sent elsewhere
  • to withdraw consent at any time where we rely on it, without affecting what we did beforehand
  • not to be subject to a decision based solely on automated processing with legal or similarly significant effects — we do not make those
  • to appeal, if we turn a request down

All of these are free, and we will not treat you any differently for using them. Contact us at info@assetspire.co.uk. We will respond within one month. We may need to verify your identity first, and we will tell you if a complex request needs longer.

You can also use an authorised agent where the law where you live allows it. We may ask for proof of their authority and ask you to verify your identity with us directly.

12. Additional information for particular regions

We are one company with one website, so everything above applies to you wherever you are. This section adds what is specific to your region.

United Kingdom

The controller is Assetspire Limited, at the address in section 1. You have the rights in section 11 under the UK GDPR. If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office — ico.org.uk/global/contact-us, or 0303 123 1113. We would rather you came to us first so we can put it right, but you do not have to.

European Economic Area

You have the rights in section 11 under the EU GDPR. You can complain to your national supervisory authority — the list is at edpb.europa.eu/about-edpb/about-edpb/members_en. If you are in the EEA and wish to exercise any of the rights in section 11, contact us at info@assetspire.co.uk and we will handle your request. (We are completing the appointment of an EU representative and will publish their contact details here once that is finalised.)

Switzerland

You have the rights in section 11 under the Federal Act on Data Protection. You can complain to the Federal Data Protection and Information Commissioner at edoeb.admin.ch.

California and other US states with comprehensive privacy laws

You have the right to know what personal information we have collected about you, the categories, the sources it came from, why we collected it and who we disclose it to — all of which is in sections 3, 4 and 6. You also have the right to access, correct, delete and port it, to opt out of any sale, sharing or use for targeted advertising, and to appeal if we refuse. We will not discriminate against you for exercising any of these rights.

As stated in section 6, we do not sell or share your personal information. For visitors reaching our website from a US state, we honour the Global Privacy Control browser signal where your browser sends one.

Canada

You have the rights in section 11 under PIPEDA, and you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Australia

You have the rights in section 11 under the Privacy Act and the Australian Privacy Principles. The countries your data may be sent to are named in section 7. You can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Japan

You have the rights in section 11 under the APPI. Our purpose of use is in section 4, the third parties we provide data to in section 6, and the countries your data may be transferred to in section 7. You can contact the Personal Information Protection Commission at ppc.go.jp.

Singapore

You have the rights in section 11 under the PDPA, including access and correction, and you may withdraw consent at any time. Our contact for these requests is info@assetspire.co.uk. You can complain to the Personal Data Protection Commission at pdpc.gov.sg.

Anywhere else

We have not listed every country, and we would rather be clear than exhaustive: if the law where you live gives you a right this notice does not mention, you have that right, and you can exercise it by contacting us at info@assetspire.co.uk. We will handle your request under the law that applies to you, and you can complain to your national data protection authority.

13. Children

Our website, app and events are not intended for anyone under 16, and we do not knowingly collect personal data from anyone under 16. If you think we have, tell us at info@assetspire.co.uk and we will delete it.

We may update this notice. Where a change is material we will say so, and where we hold your contact details and the change affects you, we will tell you directly rather than leave you to notice. The effective date at the top tells you when it last changed.
